Debit Note for Rejected Material

 

This option allows to raise Debit Notes against Delivery Challans generated for Rejected material to fulfil GST requirements.

 

A list of already existing Debit Notes will be displayed as follows -

 

 

Search:

Enter any text you want to search in the list below. The search is applicable to all columns of the list. Once the text is entered, press <ENTER> key. As a result, the list will be refreshed with all those records that contain the entered text fully or partially. In order to go back to the original list, remove the text from the box and press <ENTER> key again.

 

Filter By:

IMMS provides the facility to filter the records on the basis of their status. Click on the field and select either 'All', 'Authorized', 'Pending for Authorization' or 'Deleted'. Selecting 'All' will display all records, authorized as well as unauthorized. Selecting 'Authorized' will display only authorized records. Selecting 'Pending for Authorization' will display only those records that are yet to be authorized. Selecting 'Deleted' will display all the deleted records.

 

Once a Debit Note is raised, it may or may not need to be authorized.

 

 

Debit Notes can be added, edited, deleted and viewed provided the Role associated with the currently logged-in user through User Management has the respective rights to do so.

 

To 'Add' a Debit Note, click on the button and to 'Edit', click on the icon on its corresponding record. Click on icon to 'Delete' a particular Debit Note. To 'View' details of a particular Debit Note, <DoubleClick> on that record. As a result, following screen will be displayed -

Please note that you can NOT 'Edit' or 'Delete' an authorized Voucher.

Field Description of Debit Note Details

Book:

While 'Adding' a new Debit Note, click on the field to access a list of already existing Debit Note Books for Rejected Material defined through Book Master Maintenance option. Select your desired Book from the list by clicking on it. Alternatively you can also enter the Book Code. Press <TAB>.

 

In case of 'Edit' , and 'View', Book will be displayed automatically for the selected record. You can not change it.

Year:

While 'Adding', current financial year is displayed by default. You can change it.

 

In case of 'Edit' , and 'View', Year will be displayed automatically for the selected record. You can not change it.

Group:

Denotes the Group of the Debit Note.

 

While 'Adding', please note that the selected Book Code will be displayed automatically.

 

In case of 'Edit' , and 'View', Group will be displayed automatically for the selected record. You can not change it.

Site:

Denotes the Site for Debit Note.

 

While 'Adding', the currently logged in Site will be displayed by default. You can change it. Click on the field to access a list of already defined Sites for the currently selected Company through Site Master option of Administrator Tools Module. Select your desired Site from the list by clicking on it. Alternatively you can also enter the Site Code.

 

Please note that only those Sites will be displayed/accepted for which the logged-in user has the rights to access.

 

In case of 'Edit' , and 'View', Site will be displayed automatically for the selected record. You can not change it.

 

Number:

(Type : Alphanumeric, Length : 6)

 

While 'Adding', Voucher Number is either generated automatically or entered manually by the user.

 

 

In case of 'Edit' , and 'View', Number will be displayed automatically for the selected record. You can not change it.

 

Date:

Specifies the Date of the Voucher.

 

While 'Adding' a new Debit Note Voucher, today's date is displayed by default. You can change it but it should not be before the GST implementation date (01/07/2017).

 

In case of 'Edit', and 'View', Date is displayed automatically as per the selected Voucher Number. It can be changed in 'Edit' mode.

Vendor:

Denotes the Vendor for which Debit Note for Rejected Material has to be raised.

 

While 'Adding' a new Debit Note Voucher, click on the field to access a list of Vendors for which Delivery Challan for Rejection has been generated through Delivery Challan for Rejection option of Sales Module. Select your desired Vendor from the list by clicking on it. Alternatively you can also enter the Vendor Code.

 

In case of 'Edit', and 'View' Vendor is displayed automatically as per the selected Voucher Number. You can NOT change it in 'Edit' mode.

Vendor Acc Grp:

Specifies the Code of Account Group for the Vendor.

 

While 'Adding', click on the field to access a list of Account Groups and Sub Groups defined through Account Master Entry option. Select your desired Account Group or Sub Group from the list by clicking on it. Alternatively you can also enter the Account Group Code or Sub Group Code. Press <TAB>.

 

Only those Account Groups that have Group Type as 'Creditors' will be displayed/accepted.

 

In case of 'Edit', and 'View' Vendor Acc Grp Code is displayed automatically for the selected Voucher Number. You can change it in 'Edit' mode.

 

Vendor's Bill No:

(Type : Alphanumeric, Length : 100)

Denotes the Vendor's Bill Number.

 

While 'Adding', enter the Vendor's Bill Number.

 

In case of 'Edit', and 'View' Vendor's Bill No is displayed automatically for the selected Voucher Number. You can change it in 'Edit' mode.

 

Debit Note Currency:

Currency of the selected Vendor is displayed automatically for your reference. You can not change it.

Credit Account Details

This section displays the Credit Account details as follows -

Credit Acc Grp:

Specifies the Account Group that has to be credited.

 

While 'Adding', the Account Group specified for the selected Book Code through Book Master Maintenance option will be displayed automatically.

 

In case of 'Edit', and 'View' Credit Acc Grp is displayed automatically for the selected Voucher Number. You can change it in 'Edit' mode.

 

Credit Acc:

Specifies the Account that has to be credited.

 

While 'Adding', click on the field to access a list of Accounts belonging to the Account Group or Sub Group defined through Account Master Entry option. Select your desired Account from the list by clicking on it. Alternatively you can also enter the Account Code. Press <TAB>.

 

You can not select an Account that has been deactivated through Account Master Entry option. The help list will also not display such Accounts.

 

In case of 'Edit', and 'View', Credit Acc is displayed automatically for the selected Voucher Number. You can change it in 'Edit' mode.

Rejection DC Details

A grid populated with Deliver Challans for Rejection will be displayed as follows -

 

 

While 'Adding', this grid will be populated with authorized Delivery Challans created for the selected Vendor through Delivery Challan for Rejection option of Sales Module. Please note that only those Delivery Challans will be displayed against which some quantity is pending for which Debit Note has not been generated.

 

Select or de-select a Delivery Challan by clicking on the small box on its corresponding row.

 

In case of 'Edit', and 'View', this grid will be populated with Delivery Challans for Rejections against which the selected Debit Note was raised. You can de-select it.

 

Rate Structure:

Denotes the Rate Structure for the Debit Note.

 

While 'Adding', click on the field to access a list of Rate Structures defined through Rate Structure Master - Entry option of Purchase Module. Select your desired Rate Structure from the list by clicking on it. Alternatively you can also enter the Rate Structure Code. Press <TAB>.

 

In case of 'Edit', and 'View', Rate Structure of the selected Voucher Number will be displayed automatically. You can NOT change it in 'Edit' mode.

Field Description of Item Details

A list of all Items belonging to the selected Delivery Challans will be displayed in a grid as shown above.

 

Please refer following fields for entry purpose. Rest of the fields are for your information.

 

Field Description of the grid -

Item Code:

Automatically displays the Item Code for your information. It can NOT be changed.

 

Description:

Automatically displays the Item Description for your information. It can NOT be changed.

 

Pending DC Quantity (IUOM):

Denotes the pending quantity of Item for which Debit Note has not been generated in Internal Unit of Measurement.

 

It is automatically calculated and displayed as Delivery Challan Quantity - the sum of quantity for which Debit Note(s) have been raised till now for the Item.

 

You can NOT change it.

 

Pending DC Quantity (PUOM):

Denotes the pending quantity of Item for which Debit Note has not been generated in Purchase Unit of Measurement.

 

It is automatically calculated and displayed as Delivery Challan Quantity - the sum of quantity for which Debit Note(s) have been raised till now for the Item.

 

You can NOT change it.

 

Debit Note Qty (IUOM):

(Type : Numeric, Length : 9.4)

Denotes the Quantity of Item for which Debit Note is being raised in Internal Unit of Measurement.

 

Enter the quantity for which Debit Note is being raised for the Item. It can not be more than the Pending DC Quantity(IUOM). Press <TAB>.

 

Debit Note Qty (PUOM):

Denotes the Quantity of Item for which Debit Note is being raised in Purchase Unit of Measurement.

 

Enter the quantity for which Debit Note is being raised for the Item. It can not be more than the Pending DC Quantity(PUOM). Press <TAB>.

 

Debit Note Rate:

(Type : Numeric, Length : 9.4)

Denotes the Rate of Item for which Debit Note is being raised.

 

Enter the Rate at which Debit Note is being raised for the Item. Press <TAB>.

 

HSN Code:

(Type : Numeric, Length : 8)

Denotes the HSN Code for the combination of Item and Vendor.

 

While 'Adding', this field will automatically display the HSN Code for the combination of current Item and selected Vendor specified through Item Vendor Purchase Master - Entry option of Purchase Module. You can change it but it should be either 2, 4 or 8 digits. To do so, press <ENTER> on the field and enter the HSN Code. It can be left blank as well.

 

In case of 'Edit', and 'View', HSN Code for the Item will be displayed for the selected Voucher Number. You can change it in 'Edit' mode but it should be either 2, 4 or 8 digits. To do so, click on the field and enter the HSN Code. It can be left blank as well.

 

Basic Amount:

This field is automatically calculated and displayed as Debit Note Rate * Debit Note Qty. You can not change it.

 

Remark:

Enter Remark , if any related to the Item.

 

Total Amount:

Automatically calculates and displays the Total Amount of the Item as 'Basic Amount' + Taxes for your information. You can not change it.

Screen Layout of Tax and Other Details

Field Description of Tax and Other Details

A grid populated with the TDS Rate Codes applicable to the selected Rate Structure will be displayed as shown above.

 

Field Description of the grid -

Tax Value:

Displays the Rate Value of the Tax Rate as specified through TDS Tax Rate Master option for your reference. It can NOT be changed.

Rate Amount:

In case of 'Percentage', the Rate Amount field in the grid is calculated automatically as 'Tax Value' % of Applicable On. In case of 'Value', the ' Tax Value' is displayed as it is.

 

Place of Supply:

Denotes the Place of Supply.

 

While 'Adding', the City and State of the selected Debit Note Site specified through Site Master option of Administrator Tools Module will be displayed by default. You can change it.

 

In case of 'Edit', and 'View', Place of Supply will be displayed for the selected Voucher Number. You can change it in 'Edit' mode.

 

Remark:

(Type : Alphanumeric, Length : 100)

Enter Remarks, if any related to the Debit Note.

 

 

Once done, click on 'Save' button to save the Debit Note or 'Cancel' button to discard. The control will go back to the list.
